Downloading your Personal Data
You have the option to download all or just a portion of your personal data stored in your Everymail email account. To proceed, you must be logged into your webmail.
This data includes:
- Emails you’ve sent and received
- Your Personal Contacts
- Your Calendar Appointments
- Your Tasks
Requesting a data download may take some time, depending on the amount of data in your account. Once your data is ready for download, you will receive an email notification, allowing you to download everything in a zip file.
How to Download your Personal Data
- Click the Settings (Gear) icon in the menu bar.
- Click on All settings …
- At or near the bottom left, click Download personal data
NOTE: This will take you to the screen where you can choose which personal data you wish to download.
4. Ensure there is a checkmark next to each type of data you want to download. Common examples:
- If you only want to download all your emails, uncheck everything except for Email.
- If you want to download everything, leave all the boxes checked.
5. The Maximum file size option allows you to decide how large your zip file can be before it is split into multiple files. You can leave this at the default setting unless you encounter issues opening the file on your system.
6. Click Request download
NOTE: While your data is being prepared, this window will be greyed out, with the only available action being Cancel download request. This will halt the data download process if you didn’t intend to proceed or if you changed your mind. You can continue working in your email during this time.
7. When your download is ready, you will receive an email. The email contains two important pieces of information:
- How long you have to download the file before it becomes unavailable again.
- A link to the download section.
NOTE: The link directs you to the same location in your Settings (see steps 1-3 above), and you can navigate there manually if you prefer.
Click the Download archives button or navigate to Settings > All Settings … > Download Personal data (steps 1-3 above). At the top of this page, you will see a zip file under a section called Your archive. Click the Download (down arrow) icon to the right of the filename to download the zip file.
CAUTION! Be careful not to request a new download by clicking the button at the bottom of the page again!
RESULT: The zip file will contain the data you requested, in standard formats that can be read or imported by any modern email, calendar, or address book program.
NOTE: Right above the personal data download link, you will also see how long it will be available. Ensure you download your data before that date! After that, the data download will be automatically deleted.
Advanced Download Options
Under each type of download (Email, Calendar, Address book, and Tasks), there is an Options drop-down. Here, you can choose to download only specific email folders, calendars, contacts, or task folders.
If you don’t select any options, all personal data from that category will be downloaded, so if you want everything, leave these options at their defaults.
